The Legal Administrative Assistant - Claims is responsible for providing and coordinating administrative support to an assigned team of attorneys and/or legal specialists in the Phillips 66 Legal Department.
Responsibilities May Include
Managing attorney schedules and calendars.
Coordinating and facilitating conferences and meetings.
Creating and inputting data into Passport, the Legal Matter Management system.
Assisting attorneys and legal specialists with usage of technology systems including Passport, ebilling/invoicing and workflow systems.
Promoting the use of electronic documents/file systems and proper retention of documents according to corporate records retention schedules.
Coordinating and scheduling domestic and international travel arrangements.
Processing invoices and expense reports.
Preparing and revising legal correspondence, documents and forms.
Communicating with internal clients and external resources via telephone, email or facsimile.
Monitoring Claims Center electronic mailbox.
Providing support to Workers’ Compensation team including preparation of wage reports.
Filing of electronic documents and email correspondence.
Preparing, sorting and distributing mail, including all forms of special delivery (certified, Fed Ex, etc.).
Copying, scanning and printing documents.
Support for maintenance of shared printers and supplies in work areas (paper, staplers, pens, etc.).
Other administrative duties as assigned by the supervisor and legal work team.
Legally authorized to work in the job posting country
High school diploma or GED
3 or more years of experience as an Administrative Assistant
Proficiency and knowledge in all Microsoft Office applications with an emphasis on Microsoft Word and Outlook
Proficiency in keyboarding (Minimum 65 words per minute)
Must be flexible and willing to assist with a variety of administrative tasks
Highly developed interpersonal skills
Strong written and verbal communication skills
Excellent organizational skills
Strong focus on attention to detail.
Ability to prioritize multiple tasks and adapt quickly to change
Knowledge and experience with regard to legal processes and terminology
Understanding of and ability to process litigation and transactional documents
Knowledge of basic contracts and agreements
Understanding and adaptability to digital technology and its abilities
Ability to proactively problem-solve
Appropriate use of good judgment and discretion
Experience with Excel and PowerPoint is a plus
Understanding and appreciation for working with highly sensitive and confidential information is a must
Bachelor’s Degree is preferred
